“Us”, “we”, “our” or “the company” means Origins Retreats Ltd, a company registered in Scotland (Company Number SC767725), trading as Origins Africa Retreat.
“Your contract” means the contract formed between you and Origins Retreats Ltd.
“Your booking confirmation” means the written confirmation of your booking particulars that we send you by email following payment of your deposit.
“Your booking start date” means the original start date for your booking shown on your booking confirmation or the actual start date for your amended booking, whichever is sooner.
Our Service
We will provide you with retreat accommodation at our lodge in Tanzania in accordance with your booking confirmation. Your accommodation includes:
Rooms in accordance with your booking confirmation.
All food, including three meals a day, snacks and unlimited drinking water.
Unlimited use of facilities at the retreat (e.g. yoga deck, studio, sauna, craft workshop and relaxation areas) subject to availability.
Access to the lodge and grounds reserved for retreat guests and staff with a 24-hour security team for your privacy.
Retreat Hosts on hand to assist you and your group.
Complimentary local airport transfers.
Your access to the retreat grounds and your accommodation begins at 3pm on the day of your arrival and ends at 11am on the day of departure.
Flights, travel insurance & visas
We do not provide international flights or connections to Iringa Airport. It is your responsibility to notify us in advance of your arrival time at Iringa Airport if you wish to use our complimentary airport transfer service.
It is a condition of using our service that you ensure you and everyone in your group is covered by appropriate personal travel insurance for the duration of your time in Tanzania, including cover for medical emergencies.
You are responsible for obtaining necessary visas for yourself and your group to enter Tanzania. For a normal retreat, these are likely to be ordinary tourist visas, which can be applied for online. We have no control over the issuing of visas by the Tanzanian government and will not be liable for any cancellation or loss that you may incur as a result of not obtaining the appropriate visas.
Health & dietary requirements
It is your responsibility to ensure that you and all of your group members are fit and well to travel to Tanzania and take part in a retreat.
You must notify us at least 60 days before the start date of your booking of any health conditions that could potentially affect you or any member of your group while on the retreat (including but not limited to mental health issues, allergies, physical mobility issues or general ill health). We reserve the right to require certificates of fitness to participate from medical practitioners and/or refuse participation if in our reasonable opinion such participation may present an unmanageable risk.
You must notify us at least 60 days before the start date of your booking of any dietary requirements or food allergies or intolerances affecting you or any member of your group. We will do our best to make reasonable adjustments to accommodate such requirements, but the nature of food supply chains in Tanzania is such that we cannot guarantee the total exclusion of specific ingredients, so we may need to refuse participation if in our reasonable opinion such participation may present an unmanageable risk. We will automatically refuse participation to anyone who is likely to be at risk of serious ill health or death as a result of minor contact with foods or other items that we cannot guarantee the total exclusion of.
Reasonable behaviour
As a retreat, we are committed to ensuring that everyone can enjoy our facilities peacefully with respect to each other and the natural environment. To uphold that commitment, we reserve the right to remove anyone who persistently behaves in a way that we consider seriously disrespectful or dangerous. In the event of such removal, neither you nor those who are removed will be entitled to any refund of money paid to us or any kind of compensation for the proportion of the stay that is missed.
Payment
A deposit of 20% of your booking price is required at the time of booking. This deposit is non-refundable for any reason (including if you cancel your booking) except in accordance with paragraph 9.2.
The remaining balance of your booking price must be paid no less than 60 days before your booking start date.
All payments must be received by us in full and in GBP (Pounds Sterling).
Amendments to your booking
You can make changes to the dates or people in your booking up to 60 days before your booking start date subject to availability by notifying us in writing, provided the total price of your amended booking is not less than that of your original booking.
Amendments to your booking will result in recalculation of your booking price and may incur additional costs based on our standard pricing at the time of the amendment.
Cancellation of your booking by you
You can cancel your booking at any time by notifying us in writing.
The following cancellation charges will apply if you cancel your booking:
If you cancel more than 60 days before your booking start date, we will not refund your deposit but we will refund any additional money you have paid towards your booking balance.
If you cancel your booking less than 60 days before your booking start date, you will be liable to pay 100% of your booking price (including your deposit).
Cancellation of your booking by us
If you fail to make full payment on time in accordance with paragraphs 6.1-6.3 we may cancel your booking immediately and we will not be liable to refund your deposit or any other monies you have paid to us.
In very occasional circumstances, we may need to cancel bookings. In such cases, we will inform you not less than 60 days before your booking start date and refund all money you have paid us towards your booking price (including your deposit). This will be the full extent of our liability and we will not accept responsibility for other costs you may incur.
If cancellation occurs due to circumstances beyond our control (including but not limited to security threats, terrorist activity, political instability, pandemics, fire, floods or natural disasters), we will not be liable to refund any money that you have paid to us. We will do our best to offer alternative dates or accommodation, but you will be responsible for any costs incurred in adapting to the alternative arrangements.
Complaints
If you are unhappy with any aspect of our service, it is important that you follow this procedure to give us a fair opportunity to resolve the issues.
In the first instance, you should speak directly to a Retreat Host or Manager at the retreat lodge. They are there to provide support for you, and should be able to resolve any issues quickly and efficiently.
If you are not satisfied with the response from the retreat team (or you are unable to speak to them) after 24 hours, you should set out your concerns clearly in an email to director@originsafricaretreat.com.
If you are still not satisfied with the response, you must set out your specific complaint(s) in detail including what action (if any) you would like us to take in an email to director@originsafricaretreat.com within 30 days of your booking end date. We will not be able to offer any remedy for complaints which we are initially made aware of after that date.
Contract, governing law & jurisdiction
Your contract is formed when we receive your deposit payment and send you your booking confirmation.
Your booking confirmation forms the basis of your contract together with these Terms and Conditions. In the event of any conflict between these and anything else, your booking confirmation and these Terms and Conditions will take precedence unless otherwise agreed in writing with a Director of the company.
Your contract is governed by and shall be construed in accordance with the laws of Scotland.
All disputes arising out of or in connection with your contract shall be subject to the exclusive jurisdiction of the Courts of Scotland.
Variation of these Terms
These Terms are binding above all other agreements as far as the law allows. Variation to these Terms can only be made by written agreement from a Director of the company.
